POSI enables you to control access to various functions. To do so, you set passwords for Admin and Cashiers.

Click "Set Users' Passwords" button and select either "Admin Passwords" or "Cashiers' Passwords".

Assuming your choose 'Admin Passwords' you will see the popup window as shown below.  You can add new Admin usernames and passwords using the provided fields. If you need to change the password of an existing Admin username, place the cursor in the yellow password cell and edit accordingly. Then click the 'Refresh' button.

To delete a username select the username row by clicking its leftmost cell with the right arrow sign. Then press the Delete key on your keyboard.

The methods just explained apply similarly for the Cashiers' Passwords window.

Admin refers to users who are allowed to do the following:
  • access and edit Inventory
  • access Reports
  • access and edit Settings in the Control Panel (Main window) :
    • set Outlet Name
    • set MsAccess Database Password
    • set Admin usernames & passwords
    • set Cashiers' usernames & passwords
    • configure 'Required Settings' like sale tax rate, membership discount and promotion message at the end of sale receipts
    • set Season Discount
    • delete Unwanted Records (in Inventory and Sale tables in the database)
  • make refund at the pos window.

Note: Admin has 2 levels of access rights:

  • 'Level 1' is the master administrator and has access to all functions mentioned above  - particularly the Control Panel.
  • 'Level 2' is used more for the retail supervisor or manager for making refunds at pos window. He has access to all other functions except the Control Panel.
