Appointment Scheduler
POSI has an Appointment Scheduler integrated with the system. This is suitable for businesses like spas, beauty salons and rental of certain types of services like sport halls and fields. This Appointment Scheduler makes use of the sale receipt issued on the pos window as the ticket ID for a service package. As such the sale receipt should only contain a single service package.
Before any sale the customer should be registered first as a member via the Members window. This not only ensures that the Member name is available for making appointments on the Appointment Scheduler, it also keeps a record of her purchases over time which can be retrieved from the Members window.
Usually appointment schedulers available in other pos systems only list appointments under the service staff names. In our system appointments can be listed under service staff names, customer names and even an additional optional service which can be enabled anytime.
You can switch between these 3 views on the Schedular Calendar with click of the mouse on an option button just above the calendar. See screenshot of the Appointment Scheduler below.
By clicking on a date or month (the header) on the calendar on the left panel, appointments will be displayed in the datagrid on the right - listed column by column based on service Staff names. If you select the 'List by Customer' option just above the calendar, then the datagrid will display appointments listed column by column based on Customers' names.
Book & Edit Appointments
On the left of the window there are 2 tabs which enable you to book and edit appointments.
- To book an appointment click the 'Make Booking' tab and then select the Ticket ID - based on the receipt no. issued at the pos window - from the 'Ticket ID' list box. Select the date, time and service staff name at the bottom of the tab strip. Hit the 'Set' button to book the appointment. The datagrid on the right will refresh.
The number of booked & outstanding sessions shown on the tab strip for the service package will be updated. If the number of sessions of the service package has been reached, the system will block further bookings. If you refresh, the package will no longer be shown on the 'Make Booking' tab strip.
- To change the appointment for a customer, click the 'Manage Booking' tab, select the customer name from the list box and then scroll down the Ticket ID drop box just below to get to the right appointment. Next select a service staff name, date and time at the bottom of the tab strip. Click the 'Change' button to change the appointment. The datagrid on the right will refresh.
Here are some of the functions on the 'Manage Booking' tab:
- Use 'NoShow', 'Checked In' & 'Await' buttons to set the status of the appointment
- You can print out the package information as displayed in the textbox
- To show all appointments for the ticket select the 'All Dates Bookings of Ticket' checkbox
- To display the summary of statuses of all appointments for the current ticket, select the 'More Info' checkbox. A popup window with these information appears. To log any comments for that package or customer, enter your comments in the bottom textbox in that popup window. Then hit the 'Submit Comments' button.
- If a past appointment has not been set as "Checked In" but is still "Awaiting" or "No Show" in status, the detail box will be coloured pink to indicate that the customer did not show up. If the status is "Checked In" then the detail box will be grey in colour.
